The builder ERP that became a product.
Unit allocation, payment schedules, generated letters and a customer portal for a residential developer.

The challenge
What they needed.
A residential developer's hardest work starts after the sale. A unit is allocated to a customer, a payment schedule is agreed against construction milestones, demand letters go out as each milestone completes, and every payment has to be matched back to the right unit. Most builders run this on spreadsheets and Word templates, where a mistyped unit number becomes a demand letter for the wrong flat and a customer who has paid gets chased anyway.
Our approach
What we did.
A Rails API with a Next.js admin console and a separate customer-facing portal. The data model follows the building rather than a generic CRM: projects contain units, units are allocated to customers, allocations carry payment structures and rate charts, and payment schedules generate the demands. Letters are produced from managed templates as real Word and PDF documents, so the paperwork a builder legally has to issue comes out of the same system that holds the numbers.
What we built

- Project, tower and unit hierarchy with a live availability view
- Unit allocation, re-allocation to another unit, and allocation editing with an audit trail
- Payment structures, rate charts and milestone-linked payment schedules
- Pending payments view, so outstanding demands are a screen rather than a spreadsheet filter
- Letter formats managed in the admin, generated as Word via docx_replace and Caracal and as PDF via Prawn
- Document types master, project documents and per-unit documents on S3
- Per-project permissions, so a site team sees only its own project
- Separate customer portal: payments, documents, profile and raise-a-query
- Customer queries surface in the admin as comments, closing the loop
- Analytics and dashboard views built on Chart.js and Recharts
